Events Assistant - Chandler Center for the Arts

The City of Chandler Cultural Development Department is currently seeking qualified individuals interested in joining our team as an Events Assistant (Part-time, Regular, benefited). The position is scheduled to work 19 hours a week with the ability to work a flexible schedule, including evenings, weekends and occasional holidays, and provide hands-on operational support during performances and events.

Who we are looking for

Our new team member will have a passion for customer service, teamwork, and collaboration. We are looking for someone to provide administrative and operational support for food and beverage, concessions and artist hospitality programs at the Chandler Center for the Arts. This role assists the Events Senior with weekly administrative functions, event preparation, inventory and purchasing processes, recordkeeping and artist hospitality. Essential Functions

  • Orders concessions product, hospitality items, and operating supplies from approved vendors and coordinates deliveries. 
  • Prepares and processes invoices, expense documentation, timecards, and other routine administrative records.
  • Maintains accurate records related to food and beverage supplies and equipment inventory and assists with inventory counts, product rotation, storage areas, and inventory control procedures.
  • Reviews and organizes artist hospitality information and riders; assists with catering orders, hospitality purchases, delivery logistics and communication of artist hospitality requirements.
  • Prepares event documentation, catering information, operational checklists and other materials needed to support food and beverage, special events, and artist hospitality operations.
  • Provides hands-on event support for assigned performances and events, including setup and breakdown of concessions areas, food service areas, dressing rooms and artist hospitality areas. 
  • Communicates and coordinates with touring productions, vendors, and internal staff to ensure hospitality plans align with event timelines. Operates city vehicle for artist transport and runner needs.  Assists with meet-and-greets, VIP events, and other event related duties as assigned.
  • Ensures compliance with health department regulations, food safety standards, liquor laws, and organizational policies. Maintains required training, certification and food-safety documentation. 
  • Manages special event and artist hospitality linens, including maintaining linen inventory; ensures clean linens are available, organized and ready for performances, rentals and other events.

Minimum Qualifications

A High School Diploma or GED and two (2) years of experience in administrative support, hospitality, food and beverage, event operations, customer service or a related field; and must obtain general food safety and alcohol service related certifications within two (2) months of hire or promotion; and a valid Driver's License with acceptable driving record; or any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
